Terms & Conditions

By paying your booking fee it will be deemed that the Terms and Conditions are understood and accepted as applying to your order.

 

Payment conditions

Prices

All prices are non-negotiable and priced according to your design and the size of your cake. I don’t provide an exact portion guide for celebration cakes as I provide 3D carved cakes of all shapes and sizes and taller tiered cakes and therefore depends on how the person/ venue staff cut the cake. With regards to a portion guide for Wedding Cakes, this again is a guide and an approximate guide. Paying your booking fee will secure your order and the date in the diary.

Booking Fee and date

Celebration Cakes - A 50% deposit is required to secure your cake in the diary.

Wedding Cakes - A £100 non-refundable booking fee is required to secure your date in the diary, this removes your date from the diary. This is in addition to your final quote. You will receive a hand painted, water colour sketch of your cake design along with a detailed 4-page PDF proposal which includes all details of your colour scheme, flowers, inspiration, suppliers, quote and anything else we agreed on the day.

Cake Consultation – These are £35.00. This is for 2 guests.
If, for whatever reason, one of you cannot attend, you may bring one other guest as we only have seating for two.

For both celebration and wedding cakes, I provisionally hold your date for 7 days, if I haven’t heard back from you within a week, your date will be made available to others. Only once the booking fee has been paid will your date be removed from the diary.

Payment

Payment should be made by bank transfer to Grace (payment details will be provided on request/ invoice)

Wedding Cakes – Final payment for your wedding cake is required no later than 28 days prior to delivery. The invoice for the remaining balance will be sent out 6 weeks days prior to delivery.

Celebration Cakes, Cupcakes and Biscuits – Final payment for your celebration cake, Cupcakes and Biscuits must be made 2 days prior to collection/delivery.

Late Payment Fee

Final payment should be made by bank transfer to Grace (payment details will be provided on request/ invoice) if payment has not been paid by date specified/ agreed with Grace, a late payment fee of £25 a day will be issued. The late payment fee accrued will be issued in an additional invoice.

Please note - I do not accept cheques.

If full payment is not received and cleared in my account before collection/ delivery then the order will not be released.

Cancellation

If you need to cancel your order, I reserve the right to retain the booking fee. If cancellation takes place less than 7 days before the event then I reserve the right to seek 100% of the value of the order.

Cancellation must be made in writing (by letter or email) to Grace Eva Cakes and will only take effect from the date your letter/email is received.

If you decide to postpone your event, I will endeavour to honour your request on condition that the date is suitable, otherwise it shall be treated as a cancellation (see cancellation above).

If Grace Eva Cakes cannot complete an order due to unforeseen circumstances (e.g., ill health) I will notify you and return your booking fee.

 

Delivery

Delivery includes Wedding Cakes, tiered celebration cakes and large carved/ sculpted cakes.
I will endeavour to deliver your cake in perfect condition, however, I cannot be held liable for any such delays out of my control, for example, traffic conditions.
It is your responsibility to ensure you supply me with your correct ceremony and event time plus the postcode of the venue.

I cannot be held liable for any damage to your cake/ order at the venue once it has been delivered and I have left the premises. Please be careful with cake decorations (sugar flowers and models) as they are very delicate and can be easily broken.

If you chose to collect your cake/ order, I will not be held liable for any damage to the order once it has left my premises. You will be provided with ‘Cake Care’ instructions.

All wedding cakes will be delivered by me to ensure safe delivery and set up.
Upon delivery, I will have set-up documentation for venue staff/ management to sign to ensure allergens, cake care, cutting guide and any sugar flowers/decorations that want to be kept are acknowledged before I leave the premises.

 

Cake set up

Please ensure the cake table is stable. I cannot be held liable for any damage to your cake/ order at the venue once it has been delivered and I have left the premises (e.g., event staff assembling). I do not hire out cake stands/knives or other accessories at this moment. Please ensure this is arranged prior to set up.

I photograph all of my cakes/ orders at every stage of their process, from inside my shop, in the car during delivery and finally in position after set up at the venue. This is to ensure that I have evidence of the cake/bakes in their condition once I have left the premises.

Please ensure that the cake table is away from a window, direct sunlight or a radiator, in a high traffic area (e.g., near the dancefloor). I cannot be held liable for any damages to the cake once I have left the premises. I cannot accept responsibility for any melting of the cake (chocolate ganache) as I have no control over the weather/ venue environment and temperature.

As temperatures are on the rise and lots of venues are not equipped with air conditioning, please consider moving your cake cutting forward earlier in the day as opposed to the evening or discuss this with your venue. Cakes traditionally are cut in the evening about 7/8pm. This means the cake will have been stood for a long time, especially in summer months. All my cakes are layered with buttercream and coated in white chocolate ganache. Depending on the time of your wedding, I set most of my cakes up about 10/11am.

 

Design change

Any amendments to your design must be sent via email with plenty of notice given. In some instances, I may have to alter the design of your cake due to hot weather.

I cannot accept responsibility for any melting of the cake (chocolate ganache) once it has left my kitchen, as I have no control over the weather/ venue environment and temperature.

 

 

Allergies and Special Dietary Requirement

Special Dietary Requirements

All of the cakes I bake are sponge cakes and therefore contain dairy, eggs, sugar and wheat and are made in my commercial kitchen. Please be aware that although ingredients such as nuts can be removed from the cakes, they are still used in my commercial kitchen so I cannot guarantee that any of my cakes are completely free of them. My kitchen handles several of the main 14 allergens.

Please state if you have any special dietary requirements, allergies or intolerances on the contact form and I will do my best to cater for your needs.

The allergies section on my contact form must be filled in before sending your enquiry through, any allergies must be stated, if no allergies, state no allergies.

14 Major Foods which can cause food allergies

Cited from The Food Standards Agency website,  Annex II (as amended by Commission Delegated Regulation No. 78/2014) of the EU Food Information for Consumers Regulation (EU FIC) lists the 14 major foods which can cause allergic reactions.’ These are ‘celery, cereals that contain gluten (including wheat, such as spelt and Khorasan, rye, barley and oats), crustaceans (such as prawns, crabs and lobsters), eggs, fish, lupin, milk, molluscs (such as mussels and oysters), mustard, tree nuts (including almonds, hazelnuts, walnuts, Brazil nuts, cashews, pecans, pistachios and macadamia nuts), peanuts, sesame seeds, soybeans, sulphur dioxide and sulphites (if they are at a concentration of more than ten parts per million).’

Non-edible items

Most cakes contain small proportions of inedible items. I provide the venue staff/ management a list of the non-edible items to ensure these are removed by your caterer/guests before consumption e.g., support dowels in tiered cakes, ribbon, wires in sugar flowers, flower posy picks, flower tape and cake toppers etc.

Best Before Date

Your cake is baked fresh for the date of your event and I cannot guarantee its quality if it’s consumed more than 48 hours after the event. My cakes are baked fresh to order with natural ingredients unlike most supermarket cakes which contain additives and preservatives to ensure their prolonged life.

Cupcakes are best consumed within 2 days from the day they are collected/ delivered.

Biscuits tend to have a longer shelf life if kept in an airtight container; to retain their freshness, I would suggest consuming them within 3 weeks.

Complaints

If you have concerns about your cake/order, please notify me upon collection/ delivery of your cake/order so that I have opportunity to rectify it. All other concerns should be made in writing and photos of the fault should be attached.
No refunds are given due to change of mind.
No refunds are given to late delivery due to traffic delays out of my control.

Refunds are at the discretion of Grace Eva Cakes.
